Optical Manager

Associated Eye Care is a multi-specialty group practice providing surgical services and vision care for all ages. We have five locations spanning the eastern Twin Cities of Minnesota and western Wisconsin. Position Summary Associated Eye Care is currently seeking an Optical Manager. The Optical Manager (OM) is responsible for the day to day management of Optical while executing planning in order to maximize sales and profitability of the department. The OM works with the Retail Operations Director to establish goals, objectives and standards for Optical. The OM coordinates and administers the delivery of retail optical services at Associated Eye Care.

Candidates must be able to work full-time. Flexible hours including nights and weekends are required, as well as the ability to travel to the practice s five locations located in the East Metro and Western Wisconsin.

Essential Functions Product .and. Inventory Management

Product selection, distribution, pricing and strategy

Oversees monthly inventory counts and is directly accountable for shrinkage percentage

Directs the routine assessment of vendors, products and services

Sales

Identifies areas for growth and develop action plans for consideration

Develop, implement, monitor and measure success of optical promotions

Ensures stores are merchandised and presented in accordance with company standards

Fills in for optical staff as needed

Service

Develops, implements and monitors protocols for effective customer service initiatives delivered by the optical staff

Analyzes and handle patient complaints for quality and customer service issues Compliance

Ensures accurate completion of sales transactions including quarterly internal audits

Manages optical services operations through budget audits monitoring activity levels, revenue generation,

Assures compliance with regulatory and accrediting organizations

Remains up to date on all appropriate compliance issues including HIPAA and OSHA

Works effectively with the Director of Information on the implementation and maintenance of information systems including the OPTIK software program and the Electronic Practice Management System (EPM)

Administrative

Reviews and directs the delivery of key metric data on a monthly and quarterly basis

Ensures that the quarterly expense audits are completed promptly and accurately

Works with the business office relative to commercial insurances and payments

Reconciles statements, invoices, and monthly billing processes

Provides consistent flow of information to all opticians

Develops and maintain a good working relationship with doctors and serve as liaison between doctors and optical store personnel

Team/Employee Management Essential Functions

With the Director, has the authority to hire and terminate employment of staff

Leads and guides training team to make sure that each employee is given training, follow-up, and resources that need to be successful in their role, both as a new hire and ongoing

Creates staff schedules taking into account business trends, peak hour traffic and customer needs

Manages weekly timecards and PTO requests

Develops creative ideas and innovative approaches to improve work schedules, work processes or productivity

Works with team members to develop clear action plans for immediate and future development ensuring accountability measures are in place

Ensures that staff are trained and certified and are consistently updating their skills and abilities through continuing education
